Scope of the Position The Counter Administrator is responsible for communicating helpful, clear and concise information to external and internal clients in a friendly, professional and courteous manner while maintaining strict confidentiality.

As the face of Computershare, it is imperative that the Counter Administrator represents our company’s vision and values.

The counter is the first impression visitors get of Computershare and therefore, the Administrator must always be readily available to acknowledge, greet and assist visitors, as well as maintain a professional demeanor and clean working environment. Major Responsibilities

  • Maintain a clean and inviting workspace environment and dresses appropriately in business attire at all times.
  • Understands the urgency of servicing clients in a precise and in a timely manner
  • Provides relevant and accurate information to brokers, shareholders, internal and external clients at the counter in a courteous and professional manner.
  • Ensures that sensitive information is only provided to authorized individuals.
  • Screens submissions at the counter to determine their accuracy and completeness. These include, but are not limited to transfers, corporate actions, dividend reinvestment requests, estate documentation, etc.
  • Communicates submission deficiencies and provides resolutions to the presenter, as necessary.
  • Ensures that all processing is completed accurately and in line with specific service standards and / or client expectations.
  • Available to work shifts and overtime on weeknights and weekends as required
  • General Role Requirements

  • Communicates verbally and in writing accurately and timely on a regular basis.
  • Organizes and prioritizes work to ensure timely completion of all responsibilities.
  • Ability to multi-task between daily operational duties and projects as assigned.
  • Provides service to internal clients in a timely manner in accordance with the specific request and stated expectations.
  • Reports potential areas of compliance vulnerability and risk to their manager and when applicable, suggests resolutions to mitigate future occurrences.
  • Performs, where applicable, business testing of systems / applications.
  • Works independently and within a group setting to accomplish personal and team goals.
  • Cross-trains between various operational units and is required to apply gained knowledge on a daily basis.
  • Ensures full compliance with all business, risk & operational practices.
  • Education, Training & Certification(s)

  • Post-secondary education is preferred.
  • Canadian Securities Course and / or Trust Institute course is optional but preferred.
  • Knowledge of the Canadian Securities Industry, preferably from a Stock Transfer perspective preferred.
  • Strong Microsoft Office experience in particular Word, Excel and SharePoint.
  • Experience

  • 1 year experience in stock transfer or securities industry preferred.
  • 2-3 years customer service experience is an asset.
