Full Time Permanent

Under the direction of the Manager, Corporate Services and the Procurement Specialist, the Procurement Assistant plays a key role in the administration of procurement processes.

The Procurement Assistant supports the Procurement function by tracking procurement activities, drafting agreements, managing first level communication to clients from the procurement mailbox and updating corporate systems.

Your key responsibilities would include :

  • Opens new records in the tracking tool
  • Works with procurement specialist to update status
  • Files relevant documentation in SharePoint
  • Drafts Service Agreements based on established templates
  • Drafts Annual Exam Agreements using mail merge
  • Obtains signatures on agreements
  • Updates tracking tool
  • Responds to or escalates questions
  • Files signed documents
  • Sends business contract renewal notification
  • Works with Procurement Specialist to process renewal
  • Qualifications and Experience :

    Language :

  • Superior oral and written skills in English, with oral and written skills in French a strong asset
  • Education :

  • Some Post-Secondary Education in a relevant field Business, Accounting, Procurement, HR
  • Experience :

  • 2-3 years procurement administration experience
  • Strong skills working in Microsoft Office (Outlook, Word, Excel)
  • Strong communication skills (oral and written)
  • Experience working with SharePoint an asset
  • Knowledge of procurement processes an asset
  • Soft Skills :

  • Strong attention to detail
  • Strong organization and time-management skills
  • Customer service focus
  • Ability to coordinate multiple tasks
  • Ability to exercise sound judgement and demonstrate professionalism
