    Duties

    As the Executive Assistant (AS-01) to the Resource Conservation Manager (RCM) or Asset Manager (AM), you are the central hub of a dynamic team responsible for a wide range of tasks.

    Duties include welcoming and providing information to visitors, booking resources, scheduling meetings, taking minutes, financial reporting, tracking various permit applications, ordering uniforms and supplies, and managing a wide range of human resources data such as staffing paperwork, medicals, fitness testing, and training records.

    As the Executive Assistant to the RCM, you report directly to the RCM, but provide support to various section heads including visitor safety, fire and vegetation, aquatics, wildlife, monitoring and equine management.

    As the Executive Assistant to the AM, you report directly to the AM, but provide support to project managers working on large infrastructure projects as well as the trades’ shops including water / wastewater, plumbing, electrical, carpentry, grounds, cleaning and trail crew.

    As the Asset Management Maximo Clerk (AS-01), you are responsible for developing and maintaining a complex asset management database for the purpose of supporting the long term sustainability of the Field Unit’s assets and guiding future funding decisions.

    While reporting directly to the AM, you will work closely with various members of the Asset team, make site visits to assets around the Field Unit, track / issue work orders to trades staff, capture recapitalizations to assets and complete periodic audits or reviews of data, all in support of your responsibility to maintain the accuracy of the information within the Maximo database.

    As part of an administrative team, you may also complete miscellaneous administrative tasks similar to the Executive Assistant to support the overall success of the department.

    As the Asset Management Clerk (CR-04), you provide valuable support to a diverse team of Assets staff to aid in the delivery of a complex ongoing operation.

    Reporting to that AM, you will work closely with the Executive Assistant and Maximo Clerk, as well as project managers and section heads to provide a wide range of administrative support to the department.

    Duties will include taking minutes and processing invoices as well as organizing files including, historical drawings, operation manuals, project files, maintenance records, training records and other records as required.

    For each of the available positions, the work is both challenging and diverse. This is a unique opportunity to join these teams and play a key role in the operation and maintenance of Banff National Park.

    Work environment

    We are seeking dynamic, responsible individuals with good judgment and integrity who can find innovative solutions and apply them with tact, diplomacy and efficiency in various Administrative roles within Resource Conservation (1 position) or Asset Management (3 positions) for the Banff Field Unit.

    All four of these positions are currently being offered as Term / Acting / Assignment-at-level opportunities for known, immediate needs and for upcoming needs for various tenures that are not finalized at this time.

    However, this process may be used to fill indeterminate positions, should they become vacant.

  • E1 : Experience in providing administrative support at a management level or in a specialized capacity;
  • E2 : Experience in preparing documents, scheduling and making arrangements for meetings, appointments or events for team members

  • E3 : Experience in maintaining, creating and managing files, records, correspondence;
  • E4 : Extensive experience in using software programs such as Excel, Word and E-mail;
  • E5 : Managing internal and external flow of information (dealing with confidential information, responding to requests, meeting deadlines, etc)

    E6 : Experience working with tight deadlines and managing competing priorities

  • Stream 1 : Requires minimum 2 years of recent (defined as experience acquired within the past 4 years) experience for the AS-01 positions.
  • Stream 2 : Requires minimum 1 year of recent (defined as experience acquired within the past 2 years) experience for the CR-04 position.
