The Proposal Writer reports to the Executive Director, Business Development and Marketing , and provides support to the business lines and proposals leaders in writing and editing complex, multi-
volume technical proposals to win new business. Using superior writing skills, the proposal writer will translate technical information, résumés, and the company’s project experience into readable, concise, and professionally-formatted documents.
Review client requests (RFP, RFQ, RFI, etc.) to determine submission requirements with the business line leaders or proposal leaders.
Support the proposal leader in developing written responses to RFQs, RFPs and RFIs in compliance with client requirements as well as internal branding guidelines.
The focus shall be on supporting the business lines and the Tier 1 accounts.
Research and identify reusable content (e.g. proposal boilerplates) that the proposal team can leverage.
Provide guidance on proposal content and provide content editing support.
Interview subject matter experts to gather or verify information.
Write and edit the personnel and experience sections of the proposal.
Edit and refine technical sections to ensure content is clear and persuasive.
Compile and manage proposal master file(s) while ensuring strict version control.
Format proposals (including text and graphics) in compliance with client as well as internal branding guidelines.
Provide quality assurance oversight to ensure proposal quality, compliancy, and completeness.
Manage proposal production, packaging, and coordination of delivery to ensure on-time completion of high quality proposals.
Coordinate support services, as required or as appropriate (e.g. graphics and desktop publishing services, print shop services, other administrative support) throughout the proposal lifecycle.
Administer proposal support tools, including online workspaces and proposal team collaboration tools.
Leverage and share proposal knowledge and experience within the BD and sales teams.
Update corporate documents required for proposals and qualifications (proposal templates, resumes, expertise sheets, statement of qualifications, project sheets, etc.
Ensure that these documents are always available on the intranet.
Prepare sales business development presentations.
Perform any administrative tasks necessary for the team’s activities (BD team, sales team and Tier 1 accounts team).
Search for and download new RFQs and RFPs as required.
