Specific accountabilities

The Executive Assistant will mainly support the Executive Vice President, Industrial, North America and team members if needed.

Main duties include :

  • Coordinate the schedule, set and manage the appointments of the Executive Vice President, Industrial, North America and plan, organize and coordinate meetings and travel by taking care of logistics (i.e.
  • hotel, transfer, car rental, reservation, caterers, etc.);
  • Ensure liaison with all active files managed by team members and collaborate in the production and updating of files, presentations, spreadsheets and dashboard as required;
  • Carry out the various administrative tasks related to internal management in accordance with established processes (such as expense reports, billing validation tracking, budget monitoring, etc.);
  • Ensure constant communication with the Executive Vice President, Industrial, North America, and others during business trips and deal with any matters that can be dealt with in his absence in a suitable manner;
  • Ensure that you obtain the required signatures in the various approval processes that require them;
  • Coordinate and collaborate with other administrative and executive assistants to foster effective communication, contribute to joint projects, etc.;
  • Use, and promote the use of technological tools (Office 365, SharePoint and other solutions) within the business unit, as well as the various databases available at IC to obtain the information necessary for the management of various files of the unit;
  • Organize and maintain classification systems, mostly electronic, according to standards and best practices of document management;
  • Ensure the quality of the language and translation from French to English and English to French and the visual presentation as required;
  • Perform any other related duties assigned by the immediate supervisor or required as part of the job.
  • Key requirements

  • College diploma (DEC) in secretarial studies or office technologies;
  • Five or more years of experience as an executive secretary;
  • Excellent oral and written French and English; strong writing skills;
  • Advanced knowledge of Word, Excel, Outlook and PowerPoint;
  • Dynamic, organized, self-motivated, discreet and versatile;
  • Team spirit and desire to serve as a resource for fellow team members.
