The position is based out of Corporate Office in Toronto and reports to the Vice President, Food & Beverage.The Administrative Assistant, Food & Beverage, North & Central America, is an active member of the Food & Beverage department, contributing to the proper and timely flow of information and administrative functions of the Food & Beverage Department.

Responsibilities and essential job functions include but are not limited to the following :

Provides on-going administrative support to the Vice President and Corporate Food & Beverage team

Develops and maintains organizational structure for the Corporate Food & Beverage office, managing day-to-day operations

Coordinates and administers conference calls, meetings and appointments

Makes travel arrangements

Prepares expense reports

Manages departmental expenses, budget tracking, reforecast, invoice approvals

Administer time-off requests, calendars and contact lists

Composes replies to routine correspondence in a timely and professional manner including guest, hotel and vendor queries

Organizes conferences and training events

Produces and administers advanced level presentations and documents

Manages special projects

Supports F&B team in execution of initiatives

Maintains excellent collaborate working relationships with all corporate departments and hotels

Qualifications :

  • 5-7 years senior administrative experience
  • Previous hotel and / or food & beverage operations experience
  • Excellent written or oral communication skills
  • Organized, ability to multi-task and a strong attention to detail
  • Proficient in computer skills including Word, Excel, Outlook and PowerPoint
  • Significant experience preparing PowerPoint presentations and reports
  • Experience using the Internet as a research tool
  • Proficient accounting / mathematical skills
  • Able to work independently
  • Team player, able to maintain confidentiality, exercises initiative and good judgement
  • Ability to anticipate needs and to make recommendations as required
  • Visa Requirements : Must already be legally entitled to work in Canada
