Vanderpol’s Eggs is looking for a Maintenance Coordinator to work from its Abbotsford facility. The Maintenance Coordinator will provide administrative support to the Maintenance team.
This position will be accountable to accurately maintaining data in the information system; coordinate and report on preventive maintenance and work orders;
manage the parts store and ensure proper levels of inventory are maintained; and organize files and records.
KEY RESPONSIBILITY AREAS
Maintenance Information System :
Maintain inventories, values, assets, work orders and preventative maintenance schedules up to date and complete at all times.
Asset Registry : ensure all equipment assets are entered into maintenance software with the associated preventative maintenance schedules.
Provide training to maintenance personnel in the use of CMMS.
Financial Responsibility :
Report expenditures to budget weekly to Maintenance Manager
Provide summary of expenses to budget at the end of each period
Obtain Plant Manager approval of all expenses exceeding $500.00 and Maintenance Manager approval for all others
Post invoices daily to ensure up to date financial accounting to budget.
Prepare documentation packages including purchase requisition, PO, receiving documentation or service reports with posted invoice to accounting.
Preventive Maintenance / Work Orders Coordination
Enter new work orders into maintenance software within one day of submission. Close completed work orders in maintenance software with details of repair.
Provide summary report of all overdue work orders to Maintenance weekly with the reason and revised time line for completion.
Provide monthly report detailing the number of work orders opened, closed, average time to close a work order, delays in closing and reason, downtime of production lines due to maintenance issues.
Assign and schedule work orders : Communicate work order requirements with maintenance technicians daily to determine realistic completion target dates based on priority, current work load, parts requirements, and production scheduling.
Schedule work orders based on above criteria.
Parts Store & Office Coordination
Order replacement parts; complete purchase requisitions for all parts required for preventative maintenance and repairs.
Receive parts into maintenance software and locate to the designated parts inventory storage as the items arrive.
Inventory : Work with Maintenance Team to complete parts inventory quarterly and enter adjustments in maintenance software to maintain accuracy.
Set min / max levels of standard items required for preventative maintenance and ensure parts par levels.
Record Keeping : Maintain files of each asset, including associated work orders, preventative maintenance, calibration records, and asset disposition for a minimum of 5 years.
Ensure that service manuals, order catalogues and other manufacture’s documents related to assets are maintained in an orderly fashion and readily accessible to Maintenance Technicians and contractors that require them as part of their maintenance duties.
Housekeeping : Maintain office and shop in a safe and orderly manner at all times, ensuring that the maintenance sanitation checklist is complete, monitored and submitted to Quality Assurance weekly.
Health & Safety : Provide leadership for one Tool Box Meeting per week and document associated training. Ensure shop and storage areas are in compliance to Health & Safety requirements at all times.
COMPETENCIES (Knowledge, Skills, Ability)
The successful candidate will have the following skills and qualifications :
Previous exposure to working with Computerized Maintenance Management System (PMXpert as an example) and Enterprise / Manufacturing Resource Planning systems (Navision) is a definite advantage
Exposure to equipment parts and maintenance processes is an asset
Experience in HACCP or ISO certification an asset
Exposure to Inventory Control systems / procedures
Work in safe manner and follows all health & safety policies and procedures
Possesses a solid work ethic and demonstrates a professional, positive attitude
Willingness to work in a continuous improvement atmosphere
Accurate and highly analytical when handling data
Willing to work in a fast paced environment
Minimum of a High School diploma; Post-secondary education would be an asset
At least one year experience administering an information system requiring data entry, report generation and ability to optimize functionality
Good communication skills both verbal and written
Proficient computer skills in Microsoft office (Word, Excel) and database programs
Strong skills in completing detailed work in an accurate and efficient manner
